      有關(guān)外貿(mào)郵件的范文格式

      一、使用統(tǒng)一的信紙(郵件背景),好有公司的商標(biāo),主要產(chǎn)品的圖片類別等等。外貿(mào)管理軟件中可以自動設(shè)置、修改,再進(jìn)行使用。

      二、格式正確,統(tǒng)一,郵件主題合理,拼寫無誤。所有發(fā)給客戶的郵件應(yīng)該采用統(tǒng)一的格式。外貿(mào)管理軟件可以幫助設(shè)置相應(yīng)的格式與主題。

      (1)郵件主題最好有公司名字等,比如公司名字是E_PORT,行業(yè)是PLASTIC,這封郵件的內(nèi)容是給一款產(chǎn)品報(bào)價(jià),那么主題可以寫E_port Plastic/quotation of item A. 這樣有一個好處,可以方便客戶以及你自己以后查找給客戶的信息,對于來往郵件很多的客戶,開始的時(shí)候我往往要花很多時(shí)間去查找以前的報(bào)價(jià)以及其它資料,但是現(xiàn)在通過主題就很方便知道郵件大概內(nèi)容是什么,節(jié)省很多時(shí)間。

      (2)郵件正文兩端對齊:對于段落很多的郵件,正文兩端對齊會顯得很整潔。

      (3)第一封郵件最好寫上Mr.或者M(jìn)s.某某,職位寫SALES MANAGER等,不管你是不是經(jīng)理,寫上沒關(guān)系,你職位高客戶會覺得把他當(dāng)回事,有好處。

      (4)落款有公司標(biāo)識以及詳細(xì)聯(lián)系資料

      三、版面整潔,在OE里面將撰寫郵件的字體,字號(10-12號比較好)都設(shè)置好,不要一會大字一會小字;也不要花花綠綠的,特別是不要全篇都是大寫字母,會增加閱讀的難度,讓人反感。除非是對一些需要特別提醒客戶注意的地方,可以用大寫,加粗,特殊顏色等突出顯示。

      四、拼寫無誤,在每封郵件發(fā)出之前都應(yīng)該利用拼寫檢查工具檢查是否全部拼寫無誤。

      五、表述準(zhǔn)確,能夠準(zhǔn)確表達(dá)我方的觀點(diǎn),不要使客戶產(chǎn)生任何的歧義,盡量避免有歧義的單詞或者短語,盡量避免使用俚語等。

      六、詳細(xì),能夠提供給客戶非常詳細(xì)的資料,回答他的問題,并將他沒有問到的問題提出來。有時(shí)候你提出的問題會讓客戶覺得你很細(xì)心,很可靠而且非常專業(yè)。當(dāng)然,詳細(xì)并不是說一股腦的將所有東西都托盤而出,應(yīng)該學(xué)會在適當(dāng)?shù)臅r(shí)候談適當(dāng)?shù)氖虑椤?/p>

      七、有條理,能夠讓客戶清楚地明白郵件內(nèi)容,談完一件事再談另外一件,混在一起會讓人頭暈。很多時(shí)候,用1,2,3,4等標(biāo)出來你要說的東西會非常有用,客戶很清楚就知道你要說或者問什么。

      八、方式多樣,比如配合作圖說明,照片說明等,往往很多事情用語言很難說清楚,但是如果給一張圖紙,或者一幅

      照片,那就一目了然了。比如你說你如何玉樹臨風(fēng),說再多什么用,來張PP不就明白了?

      九、及時(shí),做到當(dāng)天郵件當(dāng)天答復(fù),在收到郵件后應(yīng)該馬上整理出自己不能解決的技術(shù)問題,及時(shí)提供給技術(shù)部門或者供應(yīng)商,要求他們在什么時(shí)候給予詳細(xì)答復(fù)。養(yǎng)成一個好習(xí)慣,在早上收到郵件后,整理出哪些需要詢問技術(shù)人員或者供應(yīng)商的,將問題給他們后,再來回復(fù)能夠回復(fù)的郵件。如果不能當(dāng)天答復(fù),給客戶一個說明,為什么答復(fù)不了,并承諾一個明確的時(shí)間。

      十、適時(shí)跟蹤,一般客戶都是同時(shí)詢問很多的供應(yīng)商,所以要適時(shí)提醒他你把他放在心里,并讓他知道你在等待。比如公司有了什么技術(shù)改進(jìn)或者新的產(chǎn)品開發(fā),可以發(fā)送給很多客戶,或許機(jī)會就在那里。外貿(mào)管理軟件會隔一階段以系統(tǒng)通知的方式提醒業(yè)務(wù)員,某個客戶有多久沒有跟蹤聯(lián)系了。
